Nightclub End of Night Report: What to Log After Every Shift

In a club, the incident is the thing you most need to find later, and the thing least likely to be written down in the right place.
A club night is three businesses at once
A nightclub is a bar, a door and an event. Money, safety and atmosphere are all happening at the same time, in the dark, with loud music. By 4am, nobody wants to write anything down.
That is exactly why the record has to be short, structured and identical every night. A blank page at 4am doesn't get filled in. A checklist does.
What to track in a nightclub every night
- Sales vs target, split by bar, VIP and door
- Admissions and capacity. How many came in, the peak, and whether you hit your limit
- Bar performance. Takings, waste, comps and floats
- Security and door. Staffing levels, searches, refusals, ejections
- Incident log. What happened, when, who dealt with it, who was told
- Safety walkround. Fire exits clear, toilets checked, no one left on site, doors secured
- Issues and actions. Equipment, sound, supplier or staff problems
- Handover to the next manager. Anything the next night needs to know
One thing worth knowing: clubs are under pressure
The Night Time Industries Association reports that the number of UK nightclubs fell from 1,240 in March 2020 to 835 in November 2024, a drop of about a third. Many operators report running costs 30 to 40% above pre-pandemic levels. When the margin is that tight, one unrecorded incident or one unnoticed cost overrun can decide whether a night is worth opening.
Many premises licences also carry conditions around incident records and door supervision. Your licence says what applies to you, so build your report around it.
The part everyone skips: the handover
The manager who closes on Saturday might not be in on Thursday. Promoters change. Security teams rotate. And the people who decide whether your licence is renewed will want to see the history.
A written handover, filled in the same way every night, tells the next manager which promoter caused trouble, which door team coped well, which fire exit is sticking and what the council said last week. It is the closest thing a club has to institutional memory.
