The Hotel Night Audit Report: What to Include Every Night

Quick test: a guest complains at breakfast about noise on the third floor at 2am. Does the morning manager know what happened, who dealt with it, and whether the room's been moved?
If the answer lives in the night manager's head, it left the building at 7am.
The night shift sees what the day shift never does
Hotels hand over three or four times in a 24-hour cycle, and the biggest gap is often overnight. The night manager is usually the only senior person on site. They deal with late arrivals, noise, broken lifts and rooms that need changing. Then they go home.
A hotel's night story is about guests, rooms and anything that broke. That's different from a restaurant's, so the report should be too.
What to track in a hotel every night
- Occupancy and arrivals, including no-shows and late checkouts
- Revenue. Room revenue, average daily rate (ADR) and F&B takings if the bar or restaurant was open
- Guests in house. The headline number the day team starts from
- Guest experience. Complaints, requests, compensation offered, VIPs
- Rooms and maintenance. Out of order, faults logged, rooms not ready
- Security. Walkround done, fire exits and external doors checked, anything unusual
- Issues and actions. What happened, what you did, what's still open
- Handover to the day manager. The three things they must know before 8am
Two numbers that every hotel person already knows
Occupancy tells you how full you were. ADR tells you what each occupied room paid. Multiply them and you get RevPAR, revenue per available room, the headline performance metric for hotels. Cloudbeds recommends running the nightly financial reports after 2am so every transaction is posted and the system has the complete day's data.
The numbers come from your property system. What it can't give you is the context: why occupancy was down on a sold-out weekend (three rooms out of order), or why ADR dipped (a group discount nobody told you about).
The part everyone skips: the handover
The night auditor is often the most overlooked role in the building, and the most information-rich. The broken lift, the guest who needs a late checkout, the maintenance job that the day team promised and didn't book. All of it is learned at night and needed in the morning.
A written handover, filled in the same format every night, makes sure it travels. It also means the general manager, the owner or the next night manager can read the history of the property without ringing anyone up.
